Business Need / Purpose of Role

Operates PBX or multiline telephone system to answer incoming calls and directs callers to appropriate personnel.

Objectives & Measurement - Key Responsibilities

Including but not limited to:

  • Operates multiline telephone system to answer incoming calls and directs callers to appropriate personnel
  • Retrieves messages from voicemail and forwards to appropriate personnel
  • Answers incoming calls, determines purpose of callers and forwards to appropriate personnel or department
  • Takes and delivers messages or transfers calls to voicemail when appropriate personnel are unavailable
  • Provides addresses, directions, and location information when requested
  • Welcomes scheduled on-site visitors, has them sign in to visitor system, and announces to appropriate personnel. Provide safety gear as required
  • Assists guardhouse with visitor and delivery admission to campus when needed
  • Receives, sorts, processes, and distributes mail
  • Prepares outgoing mail
  • Receive incoming fax and distribute accordingly.  Send fax as requested by employees.
  • Orders, stocks and distributes office supplies.
  • Arrange for office equipment repair and maintenance
  • Assist with coordinating pickups and deliveries on campus
  • Log packages delivered by Parcel delivery and coordinate distribution
  • Create outgoing shipment labels and pickups as needed
  • Upload requested notifications weekly to Cool Signs system
  • Schedule training rooms as requested
  • Other duties as assigned

Job Knowledge / Education and Qualifications


High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.



Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.


Mathematical Skills:

Ability to add and subtract two digit numbers and to multiply and divide with 10’s and 100’s. Ability o perform these operations using units of American currency and weight measurement, volume and distance.


Reasoning Ability:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.


Computer Skills:

The incumbent should have knowledge of the following software: Microsoft Excel, Microsoft Outlook, Microsoft Word, Microsoft Adobe
